Overview

Reporting to the Manager of Quality and Patient Safety, the Document Controller plays a key role in ensuring clear, reliable documentation that supports safe, effective, and compliant hospital operations.

 

This facility Document Controller is responsible for managing the full lifecycle of clinical and administrative policies, procedures, guidelines, and forms, ensuring all content is accurate, consistent, accessible, and aligned with internal standards using an electronic document management system.

Responsibilities

  1. Oversee the complete lifecycle including development, formatting, review, approval, publishing, and archiving of policies, procedures, forms, and guidelines to ensure consistency and control across all documentation.
  2. Maintain oversight of the electronic document management system, ensuring accurate version control, timely publishing, and integrity of all uploaded content.
  3. Monitor document review cycles and coordinate timely updates to ensure content remains current and aligned with facility requirements.
  4. Collaborate with policy owners and department leads to prevent duplication, ensure alignment, and support consistency in documentation across departments.
  5. Provide guidance and training to staff on the use of approved templates and formatting to promote compliance and standardization.
  6. Support the facility’s policy committee by coordinating related activities, tracking meeting minutes, and serving as the central point of contact for document related queries.

Qualifications

Required Education:

  • Bachelor’s degree in healthcare administration, nursing, or a related field

Preferred Experience:

  • At least 2 years of experience in a healthcare setting, with exposure to policy management, regulatory documentation, and medical terminology
  • Strong working knowledge of Microsoft Office, particularly MS Word, and experience using document control or intranet systems
  • Excellent organizational and communication skills, with a strong eye for detail and accuracy
  • Ability to manage multiple priorities and deadlines with professionalism, discretion, and attention to detail
  • Familiarity with regulatory and accreditation standards applicable to the UAE healthcare sector, especially those from the Department of Health Abu Dhabi and Joint Commission International
  • Experience supporting quality improvement, compliance, or readiness for accreditation surveys
  • Comfortable working both independently and collaboratively across departments
